1. Purpose and Scope
This Policy sets out the terms governing the cancellation of AiEasyPDF subscriptions and the circumstances in which refunds may be granted. This Policy applies to all paid subscriptions and purchases made through the AiEasyPDF service, unless expressly otherwise stated in a separate written agreement signed by an authorised representative of Dantium Technologies Limited.
Consumer statutory rights conferred by applicable law in the United Kingdom, the European Union, the European Economic Area, and the United States are not excluded or limited by this Policy. Where this Policy provides terms less favourable than those prescribed by applicable consumer protection law, the consumer shall be entitled to rely on the more favourable statutory provisions.
2. Your Right to Cancel
2.1 Cancellation by You. You may cancel your subscription at any time by one of the following methods:
(a) Through your account dashboard at https://aieasypdf.com/dashboard, where self-service billing controls are available; or
(b) By contacting customer support at support@aieasypdf.com and requesting cancellation.
2.2 Timing of Effect. Unless otherwise specified at the point of purchase, cancellation takes effect at the expiry of the then-current billing period. You will retain access to paid features until the end of the billing period for which you have already paid. No prorated refund will be payable for the unused portion of the billing period unless otherwise required by applicable law.
3. Statutory Cooling-Off Rights
3.1 United Kingdom and EU/EEA Consumers. If you are a consumer located in the United Kingdom (within the meaning of the Consumer Contracts Regulations 2013) or in a member state of the European Union or European Economic Area (within the meaning of Directive 2011/83/EU of the European Parliament and of the Council), you may have a statutory right to cancel certain distance contracts within 14 calendar days (the cooling-off period) without giving any reason.
3.2 Digital Services Exception. The statutory cooling-off right does not apply, or is lost, in the following circumstances, to the extent permitted by applicable law:
(a) Where you expressly request and consent to the commencement of performance of the digital service before the expiry of the 14-day cooling-off period;
(b) Where you acknowledge, at the time of such request, that you will lose your right to cancel once performance has begun; and
(c) Where the digital service has been substantially performed with your express consent prior to the expiration of the cooling-off period.
If you do not consent to immediate performance, your statutory cooling-off right remains intact for the full 14-day period.
3.3 United States Consumers. There is no federal statutory right to cancel applicable to SaaS subscriptions or digital services in the United States. Your right to cancel, if any, is governed solely by the terms of this Policy and any applicable state law that may impose disclosure requirements.
4. Circumstances in Which Refunds May Be Granted
4.1 Eligibility. A refund may be granted, in the sole discretion of Dantium Technologies Limited, in the following circumstances:
(a) Duplicate Billing. Where you have been charged more than once for the same subscription in respect of the same billing period, upon verification of the duplicate charge.
(b) Incorrect Charge. Where you have been charged an amount that does not correspond to the subscription plan you selected, due to a demonstrable error in our billing system.
(c) Technical Failure Preventing Access. Where a technical failure on our part, persisting for a continuous period exceeding 72 hours, has prevented you from accessing the paid functionality of the service to which you are entitled, provided that the failure was not caused by factors outside our reasonable control.
(d) Statutory Requirement. Where applicable consumer protection law in your jurisdiction requires us to provide a refund, such requirement shall be complied with.
4.2 Exclusions. A refund will not be granted in the following circumstances, save to the extent prohibited by applicable law:
(a) Change of Mind. Where you simply change your mind about continuing to use the service after having accessed and used the paid features.
(b) Partial Billing Period Use. Where you cancel during a billing period and wish to receive a prorated refund for the unused portion, except where the terms of your specific subscription plan provide otherwise or where applicable law requires prorated refunding.
(c) Account Suspension or Termination. Where your access to the service has been suspended or terminated due to a breach of our Terms of Service, including but not limited to misuse, abuse, or unauthorized redistribution of content.
(d) Failure to Meet Technical Requirements. Where your device, software, or internet connection does not meet the minimum requirements specified in our documentation, provided that we have made such requirements clearly available prior to purchase.
5. How to Request a Refund
5.1 Method. To request a refund, you must submit a written request to support@aieasypdf.com with the subject line "Refund Request".
5.2 Required Information. Your request must include:
(a) The email address associated with your AiEasyPDF account;
(b) The date or dates of the charge or charges for which you are requesting a refund;
(c) The amount and currency of the charge or charges;
(d) The payment method used (e.g., credit card, PayPal);
(e) A concise statement of the reason for your request; and
(f) Any supporting evidence you consider relevant (e.g., screenshots, correspondence, error messages).
5.3 Verification. We may verify your account details and the transaction history before processing your request. You agree to cooperate with any reasonable verification requests.
6. Response Times and Processing
6.1 Initial Response. We will acknowledge receipt of your refund request within 5 business days. The acknowledgment does not constitute acceptance of your request.
6.2 Decision. We will endeavour to communicate our decision regarding your refund request within 10 business days of receipt of all required information. In complex cases, this period may be extended, in which case we will notify you of the extension.
6.3 Refund Issuance. Where a refund is approved, it will be issued to the original payment method used for the transaction. The time taken for the refund to appear in your account depends on your payment provider and is typically within 5 to 10 business days after the date of approval.
7. Plan Changes
7.1 Upgrades. If you upgrade your subscription plan, the change may take effect immediately or at the start of the next billing cycle, as indicated at the point of upgrade. Any price difference will be prorated and charged or credited accordingly.
7.2 Downgrades. If you downgrade your subscription plan, the change will take effect at the start of the next billing cycle. You will continue to have access to the features of your current plan until the end of the current billing period.
7.3 Feature Access. Following a downgrade, your access to features, storage limits, or other benefits associated with the higher-tier plan may be reduced. It is your responsibility to ensure that any content or data you wish to preserve is compatible with the lower-tier plan before the downgrade takes effect.
8. Chargebacks and Payment Disputes
8.1 Contact Us First. If you believe a charge has been made in error or you have a billing dispute, we encourage you to contact us at support@aieasypdf.com before initiating a chargeback or payment dispute with your payment provider. We will make reasonable efforts to resolve the matter promptly.
8.2 Effect of Chargeback. If you initiate a chargeback or payment dispute with your payment provider, we reserve the right to suspend your account access pending investigation. If the chargeback is resolved in our favour, we may restore your account at our sole discretion. If the chargeback is resolved in your favour, the relevant refund will be processed in accordance with the payment provider's procedures.
8.3 Reversal. We reserve the right to reverse any refund if subsequent investigation reveals that the refund was not warranted or that the original charge was valid.
9. Business Customers
9.1 B2B Exemption. Where you are entering into this Agreement in the course of your trade, business, craft, or profession (business customer), the consumer protection provisions of the Consumer Contracts Regulations 2013 (UK) and Directive 2011/83/EU (EU) do not apply to you.
9.2 Terms. Refunds and cancellation rights for business customers are governed by the applicable commercial agreement between you and Dantium Technologies Limited, which may include a Master Services Agreement, Order Form, or other written contract. In the absence of such separate written agreement, this Policy shall apply but the provisions relating to statutory cooling-off rights (Section 3) and consumer-specific eligibility (Section 4.1) shall not apply.
9.3 Termination. Business customers may terminate their subscription in accordance with the notice period specified in their commercial agreement, or in the absence of such provision, upon 30 days' written notice to support@aieasypdf.com.

11. Governing Law and Dispute Resolution
11.1 Governing Law. This Policy shall be governed by and construed in accordance with the laws of England and Wales, without regard to conflict of laws principles.
11.2 Consumer Protection. If you are a consumer, nothing in this Policy affects your statutory rights under applicable consumer protection law. If you are an EU/EEA consumer, you may also have rights under the laws of your country of residence.
11.3 Dispute Resolution. If you have a complaint regarding billing or refunds, please contact us in the first instance. If we cannot resolve the matter, you may have the right to escalate the complaint to an alternative dispute resolution body, depending on your jurisdiction.
12. Changes to This Policy
We reserve the right to modify this Policy at any time. Any material changes will be communicated by posting an updated version on our website and, where appropriate, by email to the address associated with your account. Your continued use of the service following the posting of changes constitutes your acceptance of such changes.
